Vacancy for a Supporting Officer

We are in search of a highly organized and self-motivated Supporting Officer to join our Secretariat located in Copenhagen, Denmark.

​​​The Supporting Officer will be working cross departmentally and supporting the work of the Secretariat's Science, and Advice Departments, as well as Administration. This is a diverse role and requires working with and support to highly skilled professionals from both the Secretariat and wider ICES community in order to fulfil the requests for services provided by ICES.


  • Support the clean-up, update and monitoring of the Resource Coordination Tool (RCT) and assist users by helping improve guidelines and generating reports
  • Cooperate with the ICES Coordinating Officer and Departmental Officers to improve the delegate nominations process
  • Assist Professional Officers and other Secretariat team members with tasks primarily like drafting of reports and documents, and supporting organization of meetings for specified processes
  • Format reports of ICES Working Groups
  • Coordinate the ICES co-sponsored symposia, and provide support for new and regular conferences
  • Collate ICES report guidelines and templates in close collaboration with the ICES Editor and Advisory Supporting Officers and working on the implementation process
  • Support administrative tasks in connection with Bureau and Council meetings, and on an ad hoc basis.

​Qualifications and experience

To be a success in this role, you should have:

  • Proactive approach to work with an eye for detail
  • Ability to manage several tasks simultaneously
  • Relevant bachelor's or higher degree from an accredited university
  • Relevant working experience from a similar role
  • Experience with report formatting
  • Excellent working knowledge of the Microsoft Office suite of applications and familiarity with SharePoint as well as Power BI
  • Excellent communication skills as well as the proven ability to thrive in a team, with colleagues from diverse backgrounds

​Terms of appointment

This four-year appointment will be full-time (38 hours per week), starting in August 2020. 

ICES Secretariat staff enjoy privileges and immunities pursuant to the Host Agreement between the Government of Denmark and ICES. The salaries of ICES staff are exempt from Danish income tax and are based on, but not identical to, the United Nations common salary system.  The salary for this role is situated at the “C4" grade.  A tax-free pension scheme is available, to which both the employee and ICES contribute.
