Administration Officer vacancy

​We are seeking an enthusiastic person to support our Management & Administration team within the ICES Secretariat, located in Copenhagen, Denmark.

​​​​​​​​The Administration Officer will support the work of our Management and Administration team. Responsibilities will include:

  • Assist the General Secretary with formal correspondence as well as travel arrangements
  • Assist with meeting document formatting, printing, and dissemination (ICES Bureau, Council, and Finance Committee)
  • Assist with the organizing of in-house meetings, including tasks like coordination with guests, booking refreshments, ensuring meeting room preparation
  • Coordinate annual Council reception, which includes correspondence with Embassy staff and arranging for local transportation
  • Assist with intranet organization and other internal communications tasks
  • Support the HR Officer with recruitment organization and preparation, as well as other routine organization and administration tasks
  • Occasionally, assisting Reception in welcoming and orienting visitors to the Secretariat
  • Other ad hoc administrative tasks

Qualifications and experience

  • Besides being a friendly, outgoing teammate, the ideal Administration Officer is someone who is highly organized and can work well under tight deadlines. Further requirements for this position include:
  • Excellent (native level) English grammatical, reading, and writing language skills
  • Previous experience with tasks focused on administration and coordination
  • An eye for detail
  • Highly organized, with an ability to manage several tasks simultaneously
  • Excellent working knowledge of the Microsoft Office suite of applications and familiar with SharePoint
  • Proven ability to work in a team, with colleagues from diverse national and cultural backgrounds
  • Proactive approach to work, continuously seeking ways to help

Terms of appointment
The appointment will be full-time (38 hours per week), for the period of February to December 2019.

ICES Secretariat staff enjoy privileges and immunities pursuant to the Host Agreement between the Government of Denmark and ICES. The salaries of ICES staff are exempt from Danish income tax and the salary for this role is at the “C4" grade, which is based on the United Nations common salary system.

Furthermore, a tax-free pension scheme is available, to which both the employee and ICES contribute. ICES Staff Rules set out the conditions and principles of employment and the responsibilities of the staff of the Secretariat.
