Supporting Officer Vacancy

We are currently in search of a highly organized and self-motivated Supporting Officer to join our Secretariat located in Copenhagen, Denmark.

The Supporting Officer will join the Advisory Department but will also be working cross-departmentally within the Secretariat. This is a diverse role and requires working with and supporting highly skilled professionals both from the Secretariat and wider ICES community in order to fulfil the requests for scientific advisory services provided by our organization.


We seek a service-minded colleague to help:

  • Support advice-related tasks across departments and teams, with a focus on:
    • report editing and formatting
    • support of expert group meetings
    • data-entry and quality control
  • Streamline data-related correspondence between fisheries data submitters and users, primarily by assisting with coordination of relevant groups, establishing new workshops and further development of the stock information database (SID)
  • Support the ICES Annual Science Conference by organizing and formatting abstracts submitted by conference presenters  
  • Evaluate and develop a guidance document on remote meeting tools which could be used in the Secretariat
  • Provide input to nominations workflow, i.e. data-entry of member country nominations/active directory/SharePoint updates
  • Carry out other ad hoc administration and coordination support, as needed

​Qualifications and experience

To be a success in this role, you should have:

  • Strong administrative and organizational skills
  • Experience with editing and formatting reports
  • Excellent knowledge of the Microsoft Office suite of applications (experience with SharePoint desirable)
  • An eye for detail and the ability to maintain a good overview of tasks, even when things get hectic
  • Strong communication and interpersonal skills
  • Positive, collaborative and professional attitude
  • Fluency in written and oral English

Terms of appointment

The appointment will be full-time (38 hours per week), for a 4-year contract period starting in March 2021 or as soon as possible.  

ICES Secretariat staff enjoy privileges and immunities pursuant to the Host Agreement between the Government of Denmark and ICES. The salaries of ICES staff are exempt from Danish income tax and are based on, but not identical to, the United Nations common salary system.  The salary for this role is situated at the “C4" grade. A tax-free pension scheme is available, to which both the employee and ICES contribute.
