Submission of Papers and Posters

If your abstract has been accepted for presentation at one of the Theme Sessions, you will be required to prepare a complete paper fully describing your presentation, and illustrated as necessary. There are no limitations to the size of this paper but the amount of material provided should be consistent with what you can communicate in a talk of 10-20 minutes.

Paper and Poster contributions will be included on a CD-ROM, which will be provided to all registered participants. A copy of your abstract will also be included in the Conference Handbook and on the CD-ROM. In order to permit timely production of the CD-ROM, please provide the ICES Secretariat with an electronic copy of your contribution (paper/poster) by 1 September 2003 at the latest. This may be by email attachment, PC Diskette, CD-ROM or anonymous ftp to ftp.ices.dk, preferably in Adobe Acrobat pdf-format. Alternatively documents may be submitted in Word.

Paper Title and Coding

  1. Title and coding
    For papers, the code number, plus the name of the Theme Session, should be inserted at the top right hand corner of the title page. For example: CM 2003/H:01.
  2. Papers/posters may bear the statement "Not to be cited without prior reference to the author". If chosen, the statement should be inserted at the top of the title page.

Guidelines for the Presentation of Papers

Papers presented at the Annual Science Conference should be prefaced by the abstract. It should bear the name(s) of author(s) and post, fax, and e-mail address(es).

  1. State the purpose/objectives of the Paper, the main concepts and results, and the conclusions. Avoid going into detail. Do not read your Paper, but instead talk to the audience. Be considerate of the fact that most members of the audience have a mother tongue other than English.
  2. Effective communication of your Paper in the short time allotted (sometimes no more than 10 minutes) may require the use of a few visual aids (overheads, or PC projectors). Allow a minimum of 1 minute per slide/overhead, preferably 2-3 minutes.
  3. Ensure that your visual aids can be viewed clearly from a distance of at least 20 m.
  4. Overhead, and PC projectors are provided. Shortly before the Conference the Secretariat will inform you about arrangements for submitting an electronic copy of your Powerpoint presentation so that it can be pre-loaded into a database feeding to the data projectors which will be available at each Session.

No slide projectors will be available.

Guidelines for the Presentation of Posters

Posters at the 2003 ICES Annual Science Conference will be displayed on poster boards near the conference area. The dimensions of each Poster should not exceed 120 cm width x 120 cm height, including border. Fittings will be provided.

  1. It is essential that written text, graphs, and other illustrative material used in the Poster are large and bold enough to be read at a distance of at least 2 metres. For this to be possible, the lettering of the written text, labels for graphs and tables, etc., should not be smaller than 4-5 mm.
  2. The title, code number, and author(s) of the Poster should be prominently displayed.
  3. Authors will have the opportunity to present their Poster during the Poster Session on Thursday 25 September at 18.00–20.00.
  4. Authors are encouraged to include a personal photograph on their Poster to facilitate their recognition by those viewing the Posters. Do not overcrowd your Poster as you may discourage your potential audience.
