FAQ
Publishing a paper in another Journal
Does the appearance of my paper on the ICES ASC DVD constitute publication in a peer-reviewed periodical?
ICES CM documents are considered “working documents”. They are not peer reviewed.
If we include in our CM document large pieces of work bound for peer-reviewed journals, do we compromise our options for later publication?
CM documents are “grey literature” and, for that reason, would probably not be considered by a peer-reviewed journal as officially published. ICES cannot speak for all journal editors, but it has been our experience that editors are not prejudiced against papers, parts of which have appeared in CM documents. ICES recommends that authors inform editors of the material’s previous appearance in a CM document, and that authors revise the CM document before submitting it further.
Paper guidelines
The scope of the paper is “no more than you can cover in a 15-minute talk”, but how many pages should it contain?
There is no size limit for papers, but it should reflect the scope of the presentation, without an extraordinary amount of additional material.
I am currently registered to present a poster at the ASC. Is it possible to change my registration from a poster to a talk?
We have calculated the time slots for theme sessions based on the total number of accepted talks. Therefore, unless a talk has been withdrawn, we cannot add talks to the programme.
What format should the paper have?
The paper should be formatted as a normal scientific paper. It will appear in this format on the conference DVD.
What structure should I give the paper? Should it follow the order of the presentation slides?
The structure should generally follow that of any scientific paper, i.e. Introduction, Material and methods, Results, Conclusion/Discussion/Future Research.
What guidelines should I follow in the preparation of my paper?
Follow the author guidelines for ICES Journal of Marine Science, and the ICES Journal of Marine Science word list.

Travel funds
Does ICES offer travel funds for early-career scientists attending the conference?
ICES offer limited travel funds for early-career scientists from one of ICES member countries. The member countries are: Belgium, Canada, Denmark (including Greenland and Faroe Islands), Estonia, Finland, France, Germany, Iceland, Ireland, Latvia, Lithuania, the Netherlands, Norway, Poland, Portugal, Russia, Spain, Sweden, the United Kingdom, and the United States of America.
Do these funds cover simply attending the conference or do I have to present a paper or a poster?
In order to qualify for travel funds, you must be participating in the conference in a position more involved than just an attendee, i.e. you must have submitted an abstract of a paper or poster and it must have been accepted for presentation at the conference. How much is granted in travel funds?
A travel grant is usually up to Euro 670.
What expenses do the travel grants cover?
Travel grants should be used as a contribution towards transportation, hotel and conference registration.
