FAQ

Publishing a paper in another Journal

Q: If we include on the ICES ASC CD-ROM and ICES website portions or complete texts of work bound for peer-reviewed journals, do we compromise our options for later publication?

A: The ICES Journal of Marine Science will consider papers that have appeared on the ICES ASC CD-ROM or were presented at the conference, provided that they are not being considered for formal publication elsewhere. We recommend that authors approach editors of other periodicals individually because views of what constitutes publication vary, as does the insistence on (and definition of) absolute exclusivity of publication rights.

 

Paper guidelines

Q: The scope of the paper is “no more than you can cover in a 15-minute talk”, but how many pages should it contain?

A: There is no size limit for papers, but it should reflect the scope of the presentation, without an extraordinary amount of additional material.

Q: I am currently registered to present a poster at the ASC. Is it possible to change my registration from a poster to an oral presentation?

A: We have calculated the time slots for theme sessions based on the total number of accepted talks. Therefore, unless an oral presentation is subsequently withdrawn and that usually only happens close to the meeting, we cannot add new ones to the programme.

Q: What format should the paper have?

A: The paper should be formatted as a normal scientific paper. It will appear in this format on the conference DVD.

Q: What structure should I give the paper? Should it follow the order of the presentation slides?

A: The structure should generally follow that of any scientific paper, i.e. Introduction, Material and methods, Results, Conclusion/Discussion/Future Research. However, this is not a prescriptive list of contents.

Q: What guidelines should I follow in the preparation of my paper?

A: Follow the author guidelines for the ICES Journal of Marine Science, and the ICES Journal of Marine Science word list.

 

Poster presentations

Q: Are there some general rules that I should follow, when designing a poster?

A: You will find guidelines for presentation of posters here.

Q: When is the poster session?

A: The poster session will be held on Tuesday 22 September from 18.00 to 20.00.

Q: When is setup?

A: Monday 21 September from 09.00 hrs.

Q: When is tearing down?

A: Thursday 24 September by no later than 18.00 hrs.

Q: What equipment is supplied for each poster?

A: Poster boards.

Q: Should I bring handouts? How many?

A: You are welcome to bring handouts but it is not a request from our side. Perhaps 100 could be a suitable number of copies.



Travel funds

Q: Does ICES offer travel funds for early-career scientists attending the conference?

A: ICES offer limited travel funds for early-career scientists from one of ICES member countries. The member countries are: Belgium, Canada, Denmark (including Greenland and Faroe Islands), Estonia, Finland, France, Germany, Iceland, Ireland, Latvia, Lithuania, the Netherlands, Norway, Poland, Portugal, Russia, Spain, Sweden, the United Kingdom, and the United States of America.

Q: Do these funds cover simply attending the conference or do I have to present a paper or a poster?

A: In order to qualify for travel funds, you must be participating in the conference in a position more involved than just an attendee, i.e. you must have submitted an abstract of a paper or poster and it must have been accepted for presentation at the conference. The deadline for submission of abstracts has now been passed. It was 20 April 2009.

Q: How much is granted in travel funds?

A: A travel grant is usually up to Euro 670.

Q: What expenses do the travel grants cover?

A: Travel grants should be used as a contribution towards transportation, hotel and conference registration.
