Paper Submission Instructions


If your abstract has been accepted as a Paper for presentation in one of the Theme Sessions, then you are asked to prepare a complete paper fully describing your presentation, and illustrated as necessary.

  • There are no limitations to the size of this paper, but the amount of material provided should be consistent with what you can communicate in a talk of approx. 15 minutes.



  • Submissions will only be published on the conference CD-ROM and appear in the final programme, if at least one of the authors registers and attends the conference to present the work.


  • The Secretariat will need to have the conference registration and an electronic copy of your contribution (paper/poster) by Friday 18 August 2006 at the latest.


  • The submission will not appear in the final timetable unless we have received the registration and payment by that date.


  • The electronic copy of your paper/poster can be submitted by e-mail attachment, CD-ROM, or anonymous ftp to ftp.ices.dk, preferably in Adobe Acrobat pdf-format.
    Alternatively documents may be submitted in Word. Please ensure that the electronic file(s) that you send to ICES Secretariat are your very latest update. Second and third updates, sent after receipt of your first submission, will only be accepted and updated on our website after the Annual Science Conference.

  • Shortly before the Conference, the Secretariat will inform you about arrangements for submitting an electronic copy of your PowerPoint presentation so that it can be pre-loaded into a database feeding to the data projectors which will be available at each Session.


  • Please contact the first Convener of the Theme Session before the Conference to confirm your participation.

Paper Title and Coding

  1. For papers, the Theme Session code should be inserted at the top right hand corner of the title page. For example: CM 2006/ (code number to be supplied after acceptance).


  2. Papers/posters may bear the statement "Not to be cited without prior reference to the author". If chosen, the statement should be inserted at the top of the title page.


Guidelines for the Presentation of Papers

Papers presented at the Annual Science Conference should be prefaced by the abstract. It should bear the name(s) of author(s) with postal address(es), telephone and fax number(s), and e-mail address(es).

  1. State the purpose/objectives of the Paper, the main concepts and results, and the conclusions. Avoid going into detail. Do not read your Paper, but instead talk to the audience. Be considerate of the fact that most members of the audience have a mother tongue other than English.


  2. Effective communication of your Paper in the short time allotted (approx. 15-18 minutes) may require the use of a few visual aids (overheads or data projectors). Allow a minimum of 1 minute per slide/overhead, preferably 2–3 minutes.


  3. Ensure that your visual aids can be viewed clearly from a distance of at least 20 m.


  4. Overhead and data projectors are provided.

It is important that you hand in your PowerPoint presentation as soon as possible following your arrival at the Annual Science Conference, and by no later than the day before you are giving your presentation. It will be preloaded into the Conference network.

Guidelines for the Presentation of Posters

If your abstract has been accepted as a Poster at the 2006 ICES Annual Science Conference then it will be displayed on poster boards in the conference area during the five days of the conference (from Tuesday 19 September to Saturday 23 September). The dimensions of each Poster should not exceed 1.5 m height x 1 m width (portrait) or 1 m height x 1.5 m width (landscape). When submitting your abstract please indicate whether your poster will be in portrait or landscape. We would prefer to receive your poster in portrait. Fittings will be provided.

  1. It is essential that written text, graphs, and other illustrative material used in the Poster are large and bold enough to be read at a distance of at least 2 metres. For this to be possible, the lettering of the written text, labels for graphs and tables, etc., should not be smaller than 4–5 mm.


  2. The title, code number, and author(s) of the Poster should be prominently displayed.


  3. Authors will have the opportunity to present their Poster during the Poster Session on Thursday 21 September between 18.00 and 20.00 hrs.


  4. Authors are encouraged to include a personal photograph on their Poster to facilitate their recognition by those viewing the Posters.


Do not overcrowd your Poster as you may discourage your potential audience.
