Vacancy for an Advisory Programme Assisting Secretary

We are seeking an enthusiastic person to join our Secretariat Advisory Department team based in Copenhagen, Denmark.

​​​​​The Advisory Department comprises 15 staff members who support the delivery of advisory products from single fish stocks to multi-species and mixed fisheries advice. As an Assisting Secretary, you will work with and support highly skilled professionals both from the Secretariat and wider ICES community in order to fulfil the requests for scientific advisory services provided by ICES. 

Key responsibilities:

  • Act as key contact and provide service to the ICES networks (expert groups, steering groups and committees) including coordination and technical preparation of meetings, report processing, and dissemination
  • Assist the professionals within the ICES Secretariat, including writing of reports and documents, project related work, communication with third parties and organization of meetings
  • Communicating across departments to integrate tasks and projects as well as standardize daily work
  • Carry out routine administrative and secretarial functions.

Required qualifications:

  • A bachelor's level education or equivalent experience from a similar job
  • Solid administrative skills
  • Knowledge of fields related to the marine environment and/or experience in assisting with scientific work
  • Excellent communication skills in English
  • Excellent knowledge of the Microsoft Office suite of applications, including SharePoint
  • High social competence and network building skills.

​Terms of appointment

The appointment will be full-time, for a four-year contract period starting 1 July 2017.

ICES Secretariat staff enjoy privileges and immunities pursuant to the Host Agreement between the Government of Denmark and ICES. The salaries of ICES staff are exempt from Danish income tax and are based on, but not identical to, UN grade scales.  A pension scheme is available. The ICES Staff Rules set out the conditions and principles of employment and the responsibilities of the staff of the ICES Secretariat.
